Madoc Yacht Club

Madoc Yacht Club is situated on the side of the Historic Porthmadog Harbour - in the 19th century a thriving port, ship building centre and an important slate exporting centre.

A members-only Club, with everyone sharing a common interest in sailing, yachting, rowing or boating.

 

The Club has a vibrant Social calender. It offers great variety with live music, quizzes, garden parties, fancy dress nights, Christmas and New Year parties and a whole host of other events.

Committee Meeting 17th June 2020

Present: Sarah Thomas (Chair), Richard Gloster (Sec), John Jones-Morris, David Eastwood, Alastair Langdon, Geoff Wood and Glyn Jones (by Zoom).

Apologies
No apologies were received.

To Approve Minutes of Previous Meeting.
The minutes of the meeting held on 1st June 2020 were approved and signed.

Matters Arising.
There were no matters arising not included in the agenda.

Pontoon and Charges.
John J-M, Sarah T and G Wood declared an interest as they had boats currently on the club pontoons.

Following discussion it was agreed:
For those boats currently on the pontoons and living close enough according to the 5 mile restriction specified by the Wales Government a pontoon berth fee of £700 with invoicing to be in July. Action. Glyn J to progress.
For those owners with allocated berths a Service/Retainer fee, to cover fixed and service charges, of £100 would be charged. This excludes those invoiced in “a)” above. Actions. Glyn J to progress invoicing. Richard G to send letter to berth holders.
Those 4 berth holders who had opted to pay for 3 years would be given a credit note.

Restaurant
Geoff Wood reported that he was meeting with a ventilation company on Friday 19th June on site to discuss options and request a survey. The potential options were discussed and agreed that all choices must be evaluated and considered. It was agreed that the survey fee of £120 was acceptable.

Once the survey was received a Planning Application would be made and progressed as quickly as possible.

John J-M explained that some plumbing and electrical costs would be incurred to make the kitchens safe. It was agreed that once the planning process was completed the service requirements would be agreed and contractors instructed. For capital works the club would accept responsibility and the tenants invoiced for those works which were to repair their previous changes, specific requirements for their business and any service expenses (electricity etc). Terms for tenant payments to be agreed. Action. Alastair L to communicate with the tenants.

It was agreed to make every effort to complete ventilation and necessary changes by January 2021.

Furloughing.
The current furloughing arrangements were discussed and implications with the rebate being reduced by 10% in September and 20% in October. Staffing for the future and the cost implications were discussed.

It was confirmed that Janet Owen’s contract should include hours for cleaning. Action. Richard G to confirm arrangements.

Any Other Urgent Business.
Rockfall. Richard G confirmed that he had not received a reply from the council requesting response to their inspection. Action. Richard G to send further request.

Corvid 19 Signage. David E presented full range of signs developed for when the easing occurs. Action. David E to liaise with Rachel to ensure there was no duplication of effort and necessary supplies.

Trawsfynydd Transformer. Sarah T reported that the transformer arrival on Black Rock Sands had been delayed till September earliest.

The AGM for 2019 will be held on Sunday, 20th Oct 2019 at 11am.

Please go to UPLOADS for notice and nomination form.
Copies of this form will also be available from the Club Administrator, the Club Noticeboard and the Bar Manager.

Voting and Proxy voting arrangements will be circulated once the closing date passes and names posted on the noticeboard.
